How to Cool a Small Office Server Room During a Heatwave (Before It Fails)
When your office server room hits 30°C, your business is at risk of total digital failure. Learn how to quickly deploy emergency cooling to protect your IT hardware.

While a hot office makes your staff irritable, a hot server room can completely shut down your business.
During a UK summer heatwave, standard office IT rooms—which are often just repurposed, windowless storage cupboards—turn into ovens. Servers and network switches generate a massive amount of dry heat. If that heat cannot escape, the ambient temperature of the room spikes incredibly quickly.
If your server room crosses 30°C, the hardware will begin to throttle performance to protect itself. If it crosses 35°C, you are facing imminent, catastrophic hardware failure, data loss, and network downtime. Here is how to stabilize your server room fast.
The "Open Door" Mistake
When the server room temperature alarm goes off, the first instinct is usually to prop the door open and put a cheap desk fan in the doorway.
This is a terrible idea for two reasons:
Security: You are physically exposing your company's critical data infrastructure to the entire office (or anyone walking by).
Inefficiency: Pushing room-temperature office air into a hot server closet does not extract the heat; it just pushes the server's hot exhaust back out into the open-plan office, making your staff even more miserable.
The Only Permanent Fix: Dedicated Extraction
Server rooms require mechanical, thermostatically controlled cooling. You cannot rely on passive airflow.
If you do not have a dedicated mini-split HVAC system installed in your IT closet, you must deploy a commercial-grade portable air conditioner.
How to set it up safely:
BTU Overkill: Do not buy a small 5,000 BTU bedroom unit. Servers generate continuous thermal load. You need a 10,000+ BTU unit to outpace the heat generation of the hardware.
The Exhaust Route: You must vent the portable AC's exhaust pipe out of the room. If the server room does not have a window, you must vent the pipe up into the drop-ceiling void (plenum space) so the heat is physically extracted from the room.
Continuous Drainage: Air conditioners pull humidity out of the air. In a server room, you cannot rely on a unit with a small internal water tank that requires manual emptying every 6 hours, or it will shut off overnight. You must use a unit with a continuous drainage hose, feeding into a large external bucket or drain.
Do not wait for your servers to crash and your network to go offline. A £400 portable AC unit is the cheapest IT insurance policy you will ever buy.
